Position Overview: Assistant to the Director for overseeing the daily operational needs, assuring a positive experience to guests, assistant to the Director for marketing, purchasing, and maintenance, internally and externally. Responsible for the reservation process and performing the daily receptionist duties.
Key Duties & Responsibilities: Manages the Franciscan Retreat Center’s (FRC) reservation calendar, schedules reservations, fulfills guest requests, and handles administrative tasks for the center.
People: Coordinates guests needs, i.e., conference rooms, set-ups, meals, room assignments, meetings rooms, etc. Acts as primary contact for all group leaders and private retreatants, Monday through Friday. Responsible for the reception desk, answers phones, mails letters, welcomes guests, and meets their needs. Manages deposits and billing, conducts inside sales, and gives tours of facilities.
Quality: Manages Quality Assurance and the facility evaluation process. Analyzes guest demographics and reasons groups are unable to reserve, maintains lists of groups requesting information, and manages files of programs, groups, statistics, and other information as required by the Director.
Operational Excellence: Manages check-ins and check-outs and coordinates housekeeping for the guest rooms. Mails brochures and information as requested, maintains database of contacts and sales. Maintains all correspondence, contracts, and deposits for groups, coordinates food services with Culinary Services department, helps coordinate weekend receptionist information for Friday evening to Sunday evening operations, and attends FRC Board of Director meetings and takes/prepares meeting minutes.
Schedule: Monday through Friday 8:00 am to 4:30 pm.
