Position Overview: Under the direction of the Director of Nursing, the Nursing Scheduling Coordinator schedules and provides adequate nursing staff coverage to meet resident needs based on budgeted staffing ratios. The Scheduling Coordinator completes daily tasks that help to maintain the continuity and quality of care for the residents and supports the nursing and ancillary department associates and managers as directed.

Key Duties & Responsibilities:

People: Completes nursing monthly/daily schedules within the established budget and staffing guidelines to ensure continuity and quality of care for the residents, manages time off and altered schedule requests for nursing associates per staffing needs/guidelines, receives call off notices and replaces nursing staff, as necessary. The Scheduling Coordinator assists in reviewing applications and interviewing potential candidates for the nursing department, runs background and OIG reports for the nursing center, coordinates new hire paperwork and orientation for the nursing center, places employment ads and maintains the list of open nursing positions on the Mount St. Francis website. Coordinator will make doctor appointments for residents, arrange transportation, and provide appropriate paperwork, and may provide direct resident CNA care or resident transportation services.

Quality: The Scheduling Coordinator maintains attendance records for assigned departments, tracks infection control illnesses of nursing center associates and reports monthly to DON and SDC, reviews and approves payroll hours for the nursing department, maintains inventory in central supply, tracks spending and reports any overages, maintains Safety Data Sheets (SDS) for the nursing department, assists other departments as needed and follows infection control, safety, and confidentiality standards.

Operational Excellence: The Scheduling Coordinator maintains current licensure/certification on all applicable nursing center associates and ensures compliance with renewals, maintain nursing center associate files, tracks current immunizations/TB tests, oversee the rotation of stock and expiration dates in central supply, and provides purchasing and storage of nursing center supplies.

Qualifications:

  • LPN or RN
  • Experience in scheduling desirable
  • Strong organizational skills and knowledge of medical terminology
  • Data entry and Microsoft Office experience
  • Skilled in interpersonal relations and effective communication  

Schedule : Average 40 hours per week, plus on-call responsibilities.

Operational Excellence:  The Clinical Nurse Manager assures compliance of all standards in the unit, works closely with other departments to meet the needs of the residents, participates in on-call staffing rotation, monitors 24 hour report daily for clinical issues, assures Coumadin, blood sugar, and insulin tracking is complete and accurate, and audits new admission orders and assessments.  

Qualifications:

    • AN or BSN is required
    • Must be at least 18 years of age
    • Five years experience in long term care nursing
    • Must have current RN license in good standing and CPR certification

Schedule:  Full time position including on-call rotation every 5th weekend.

Key Duties & Responsibilities:  The receptionist has responsibility for answering incoming calls and routing to the appropriate party for all of Mount St. Francis Ministries, welcoming residents, visitors, and associates by greeting them in person or on the telephone and answering or referring questions to the appropriate department. The receptionist facilitates outgoing calls from residents, associates, Sisters, and visitors, and schedules appointments, as needed.

The receptionist provides trouble shooting for telephone, postage meter, and copier issues and refers unresolved problems to appropriate personnel, maintains monies pertaining to postage, meal tickets, and vending machines, collects and distributes mail, maintains office supply inventory, orders supplies, and schedules equipment maintenance.

The receptionist performs a variety of clerical duties to include typing memos, correspondence, reports, updates to telephone list, resident status, and room rosters, and protects resident and associate’s rights by maintaining confidentiality of personal and financial information. The receptionist creates and maintains a calm, organized and clean environment in the lobby and reception area, and performs other duties as assigned.

Qualifications:

  • High school education or GED; six months to one year related experience and/or training, or equivalent combinations of education and experience.
  • Computer, Microsoft Office, type 25+wpm and data entry skills are necessary.
  • Able to sort, file, and log various medical records in paper and digital format.
  • Mature, responsible, and dependable.
  • Skills in multi-tasking, flexibility, telephones, customer service, time management, organization, attention to detail, scheduling, Microsoft Office (Word, Excel, Outlook), and professionalism.

Quality: Obtains equipment and supplies necessary to accomplish the cleaning tasks assigned, moves chairs and tables as required, replaces supplies such as toilet tissue, paper towels, soap, hand towels, etc.

Operational Excellence: Housekeeper assures that assigned work areas are maintained in a clean, safe, comfortable, and attractive manner, and that equipment, tools, supplies, etc. are properly stored at all times. Cleans lobbies, lounges, restrooms, corridors, elevators, and stairways.

Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  Housekeeping experience is desired. 

Schedule: Approximately 30 – 37 hours per week, 7AM to 3PM, days to be determined.
